Terms & Conditions

Last updated: October 2026

Welcome to Fresh Look Design.

These Terms & Conditions apply to orders placed with Fresh Look Design, including graphic design, artwork preparation, commercial printing, personalised workwear, embroidery, garment printing, signage, vehicle graphics, promotional products and related services.

By placing an order with Fresh Look Design, you confirm that you have read and accepted these Terms & Conditions.

Nothing within these Terms & Conditions affects your statutory rights where those rights cannot legally be excluded or restricted.

1. Colour Reproduction – RGB & CMYK

Colours displayed on a computer monitor, mobile phone, tablet or other digital screen cannot be expected to exactly match the final printed or personalised product.

Digital screens generally display colours using the RGB (Red, Green, Blue) colour system. RGB colours are produced using light and can therefore appear particularly bright, vivid and highly saturated.

Professional printing generally uses the CMYK (Cyan, Magenta, Yellow and Black) colour system, which has a different and more limited colour range.

When artwork is converted from RGB to CMYK, some colours may appear:

  • darker;
  • less vibrant;
  • less saturated; or
  • otherwise noticeably different from their appearance on screen.

Bright, fluorescent, neon and highly saturated RGB colours can be particularly difficult or impossible to reproduce accurately using standard CMYK printing.

Noticeable colour variations may occur between artwork displayed on screen and the final printed product. The extent of these differences will depend on factors including the original artwork, colour profile, screen calibration, printing process, inks, material or substrate and finishing method.

Artwork created using platforms such as Canva, particularly where files have been designed or exported using RGB colours, may show more noticeable colour differences after conversion to CMYK for professional printing.

Colours may also vary between different materials and production methods. For example, the same colour may appear different when reproduced on paper, card, vinyl, PVC, signage materials, garments or embroidery thread.

Different production runs may also show reasonable colour variations due to differences in materials, inks, machinery, calibration and other normal production factors.

Unless a specific colour-matching service has been expressly agreed in writing before production, Fresh Look Design cannot guarantee an exact colour match between:

  • artwork displayed on a digital screen;
  • previously printed products;
  • customer-supplied samples;
  • different materials or substrates; and
  • the final printed or personalised product.

Customers for whom precise brand colour reproduction is particularly important should inform Fresh Look Design before approving the artwork and before production begins, so that any available colour-matching options can be discussed.

By approving artwork for production, the customer acknowledges and accepts the normal limitations of RGB-to-CMYK colour reproduction and professional printing processes.

Reasonable colour variations resulting from these processes will not, by themselves, be considered a product defect.

2. Artwork Approval

Where applicable, you will receive a digital proof before your artwork is sent for printing, embroidery or other production.

It is your responsibility to carefully check the entire artwork before approving it.

Please check:

  • spelling and grammar;
  • names and business information;
  • telephone numbers;
  • email addresses;
  • website addresses;
  • social media details;
  • prices and dates;
  • dimensions;
  • colours;
  • photographs and images;
  • positioning and layout;
  • QR codes and their destinations; and
  • any other information included within the design.

By approving the artwork, you confirm that you have checked it and are satisfied that it is correct and ready for production.

Once artwork has been approved, Fresh Look Design may proceed with production without requesting further confirmation.

Fresh Look Design will not normally be responsible for errors that were clearly visible within artwork approved by the customer.

If a reprint is required because of an error contained within customer-approved artwork, this may be treated as a new order and additional charges may apply.

Our FREE Artwork Check is intended to identify common technical production issues. It does not replace the customer's responsibility to carefully check and approve the content of their artwork.

3. Artwork Requirements, Bleed & Print Tolerances

Customer-supplied artwork must meet the technical requirements for the product being ordered.

Artwork should be supplied at the correct dimensions and, where applicable, with suitable:

  • bleed;
  • safe areas;
  • resolution; and
  • file format.

Background colours and images intended to reach the edge of the finished product must extend into the required bleed area.

Important text, logos and contact details should remain within the recommended safe area.

Commercial printing and finishing processes are subject to normal mechanical tolerances. Minor variations may occur in:

  • cutting;
  • trimming;
  • folding;
  • alignment;
  • positioning; and
  • finished dimensions.

For this reason, borders positioned very close to the trim line may appear slightly uneven after cutting.

Low-resolution artwork may appear pixelated or blurred when printed, particularly when enlarged.

Simply enlarging a low-resolution image does not improve its original quality.

Where appropriate, Fresh Look Design may recommend artwork recreation or logo vectorisation before production.

If you choose to proceed after being advised of a potential artwork quality issue, you accept the associated limitations.

4. Personalised Workwear

Personalised workwear is produced specifically to your individual requirements.

Where applicable, you will receive a digital proof showing the proposed embroidery or printed design before production.

Digital proofs provide an approximate representation of the finished garment. Minor differences may occur in the final:

  • size;
  • colour;
  • positioning;
  • alignment; and
  • overall appearance of the personalisation.

Embroidery and garment printing are subject to normal production tolerances.

The same logo may appear slightly different across different garment sizes or styles due to seams, pockets, zips, panels and available decoration areas.

Very small text, thin lines, gradients or highly detailed artwork may need to be simplified or adjusted for embroidery.

Customers are responsible for selecting the correct garment, colour, size and quantity.

Garment sizing may vary between manufacturers and styles. Please check the relevant size guide before ordering.

Personalised garments cannot normally be returned or exchanged simply because you:

  • selected the wrong size;
  • selected the wrong colour or garment; or
  • changed your mind.

This does not affect your statutory rights where a product is faulty, incorrectly supplied or otherwise not in conformity with the contract.

5. Delivery

Print Delivery

Our standard estimated delivery time for printed products is:

4–6 working days from the date your final artwork is approved for printing.

Workwear Delivery

Our standard estimated delivery time for personalised workwear is:

5–7 working days from the date your final artwork is approved for embroidery and/or printing.

Working days are Monday to Friday, excluding UK bank and public holidays.

Production and delivery times begin once all required information, payment and artwork approval have been received.

Express Delivery

An EXPRESS service may be available for selected products.

Please contact Fresh Look Design before placing your order so we can confirm availability and the expected delivery date.

If your order is required for a particular event, exhibition, promotion or other deadline, please contact us before ordering.

Possible Delivery Delays

While we always aim to meet our estimated delivery times, occasional delays may occur because of circumstances such as:

  • production or machinery problems;
  • courier disruption;
  • severe weather;
  • transport disruption;
  • supplier problems;
  • material shortages; or
  • other unforeseen circumstances outside our reasonable control.

By placing an order, you acknowledge that minor or unforeseen delays may occasionally occur, subject always to your applicable statutory rights.

Checking Your Delivery

Upon receipt of your order, please inspect the products carefully.

If you notice any damage, please contact us as soon as possible.

We may require clear photographs showing:

  • the damaged product;
  • damaged external and internal packaging; and
  • the courier delivery label.

Please retain the affected products and original packaging until the matter has been investigated.

6. Returns, Refunds & Reprints

Many products supplied by Fresh Look Design are made to order, printed, embroidered, personalised or produced to individual customer specifications.

Personalised or custom-made products cannot normally be returned or cancelled simply because you have changed your mind.

This may include:

  • business cards;
  • flyers and leaflets;
  • posters;
  • stickers;
  • banners;
  • signs and boards;
  • vehicle graphics;
  • magnetic vehicle signs;
  • personalised workwear; and
  • other products produced using customer-specific artwork.

This does not affect your statutory rights where goods are faulty, damaged, incorrectly produced, incorrectly supplied or otherwise not in conformity with the contract.

If you believe there is a problem with your order, please contact us promptly.

We may request photographs or other reasonable evidence to investigate the issue.

Where Fresh Look Design confirms a production fault, we will provide an appropriate remedy in accordance with applicable law. Depending on the circumstances, this may include a:

  • reprint;
  • replacement;
  • repair;
  • price reduction; or
  • refund.

A reprint or replacement will normally use the same artwork and specifications originally approved by the customer.

Reasonable differences inherent in printing, cutting, colour reproduction, embroidery or other production processes are not automatically considered defects.

7. Cancellations & Order Changes

If you wish to cancel or change an order, please contact us as soon as possible.

We will make reasonable efforts to accommodate your request.

However, once artwork has been approved and an order has entered printing, embroidery or other production, cancellation or modification may no longer be possible.

Where production has already started, costs already reasonably incurred or committed may remain payable.

Changes requested after artwork approval may result in:

  • additional artwork charges;
  • additional production costs; and/or
  • an extended delivery time.

Design, artwork preparation or vectorisation work already completed may remain chargeable even if you subsequently decide not to proceed with production.

8. Customer-Supplied Artwork, Logos & Copyright

Customers are responsible for ensuring that they have the necessary rights, licences and permissions to use any:

  • logos;
  • photographs;
  • artwork;
  • illustrations;
  • fonts;
  • trademarks;
  • brand names; or
  • other materials supplied to Fresh Look Design.

Content found through Google, social media, Canva, stock-image websites or other online sources is not automatically free for commercial use.

Fresh Look Design may refuse to reproduce material where we reasonably believe it may infringe third-party rights.

By supplying artwork to us, you give Fresh Look Design permission to reproduce, resize, convert and otherwise process it as reasonably necessary to complete your order.

Ownership of your existing logo or other intellectual property remains with its respective owner.

Draft concepts, rejected designs and unused design proposals created by Fresh Look Design remain the property of Fresh Look Design unless otherwise agreed.

Payment for a design service does not automatically include editable working files, source files, templates, licensed fonts or third-party assets unless these are expressly included within the service purchased.

9. Graphic Design & Artwork Services

Fresh Look Design provides services including:

  • graphic design;
  • print artwork preparation;
  • logo design;
  • logo improvements;
  • logo vectorisation; and
  • artwork recreation.

A revision means a reasonable adjustment to an existing design concept.

A request for a substantially different concept, layout or creative direction may be treated as additional design work and may incur an additional charge.

Changes to the original brief, excessive revisions or repeated changes to previously approved elements may also incur additional design charges.

Customers must carefully review and approve the final design before production.

Logo recreation or vectorisation from poor-quality or heavily pixelated source material may require some elements to be interpreted or reconstructed.

Minor differences from the original may therefore occur.

10. Prices, Quotations & Payment

Quotations are based on the specifications and information provided at the time they are issued.

Changes to:

  • quantities;
  • materials;
  • product specifications;
  • finishing;
  • artwork; or
  • delivery requirements

may result in a revised price.

Unless otherwise agreed, payment may be required before production begins.

Additional work outside the original scope of an order may incur additional charges.

Applicable taxes, including VAT where applicable, will be charged in accordance with Fresh Look Design's applicable tax status.

Fresh Look Design reserves the right to correct obvious pricing or typographical errors.

Where a material pricing error is identified before production, we may offer you the option to proceed at the corrected price or cancel the affected order for an appropriate refund.

11. Product & Material Variations

Materials used in commercial printing and manufacturing are subject to normal production tolerances.

Minor differences may occur in:

  • colour;
  • shade;
  • texture;
  • thickness;
  • weight;
  • rigidity;
  • dimensions; and
  • surface finish.

GSM describes the nominal weight of paper or card and does not guarantee an exact thickness or stiffness.

Two papers with the same GSM may therefore feel different.

Outdoor products may naturally be affected over time by UV exposure, weather, moisture, temperature and normal wear.

Repeat production runs cannot always be guaranteed to look completely identical because materials, inks, machinery, suppliers and manufacturing conditions may change.

12. Vehicle Magnets, Vinyl, Stickers & Signage

Customers are responsible for ensuring that the intended application surface is suitable unless Fresh Look Design has specifically agreed to provide installation.

Application surfaces should be clean, dry and free from dirt, grease, wax and other contaminants.

Vehicle Magnetic Signs

Vehicle magnetic signs require a suitable ferromagnetic metal surface.

They may not adhere to aluminium, plastic, fibreglass, carbon-fibre or composite vehicle panels.

The magnetic sign must sit completely flat against the vehicle.

Dirt, grit or moisture trapped between the magnet and vehicle may damage the paintwork.

Magnetic signs should be removed regularly so that both the vehicle surface and magnet can be cleaned and inspected.

Magnetic signs should be removed before using automatic car washes or pressure washers.

The customer is responsible for ensuring that magnetic signs are securely fitted before driving.

Vinyl & Stickers

Vinyl and stickers may not be suitable for every surface.

Adhesion may be affected by the material, texture, coating, cleanliness, age and condition of the surface.

Fresh Look Design cannot guarantee removal without visible effect where the underlying paint or surface is weak, damaged, aged or otherwise unsuitable.

Banners & Signage

PVC banners and rigid signage must be installed using appropriate fixings suitable for their size, weight, location and environmental exposure.

13. Customer-Supplied Content & Information

Customers are responsible for ensuring that information supplied for inclusion within artwork is accurate, lawful and up to date.

This includes:

  • business details;
  • telephone numbers;
  • addresses;
  • prices;
  • dates;
  • opening hours;
  • qualifications;
  • accreditations;
  • insurance statements;
  • promotional claims; and
  • other factual information.

Fresh Look Design does not routinely independently verify customer-supplied claims.

Where we assist with wording or copy, the customer must still review and approve the final text before production.

QR Codes

Customers must check that any supplied URL or QR-code destination is correct.

Where Fresh Look Design creates a QR code, the customer should test the QR code shown on the final artwork before approval.

Fresh Look Design cannot guarantee the continued availability of a third-party website, social media account or other external destination after production.

14. Digital Proofs & Mock-Ups

Digital proofs, product mock-ups and visualisations are provided as visual representations.

They should not be interpreted as exact photographs of the finished physical product.

The final product may show reasonable differences in:

  • colour;
  • material appearance;
  • texture;
  • proportions;
  • artwork positioning; and
  • finishing.

Digital mock-ups cannot accurately reproduce physical properties such as paper thickness, laminate texture, fabric texture, vinyl finish or embroidery.

Lifestyle images, vehicle mock-ups and other visualisations should be regarded as visual aids rather than technical drawings unless expressly stated otherwise.

15. Repeat Orders

Fresh Look Design may retain customer artwork and production files to make future repeat orders easier.

However, unless specifically agreed, we do not guarantee indefinite storage of artwork.

Customers should retain their own copies of important logos and artwork.

A request for “same as last time” will normally be interpreted as a request to reproduce the most recent identifiable approved version.

Customers remain responsible for checking that information contained within previous artwork is still correct.

Repeat orders may show reasonable differences in colour or materials compared with previous production runs.

Previous prices do not guarantee the same price for future orders.

16. Complaints

If you believe that your order is faulty, damaged, incomplete or incorrectly produced, please contact Fresh Look Design as soon as reasonably possible.

To investigate the issue, we may request:

  • your order information;
  • a description of the problem;
  • photographs;
  • the number of affected products;
  • packaging photographs;
  • the courier label; and
  • other reasonable evidence.

Please retain affected products while the complaint is being investigated.

Where appropriate, Fresh Look Design should be given a reasonable opportunity to investigate and provide a suitable remedy before replacement products are independently commissioned elsewhere, subject to your statutory rights.

17. Limitation of Liability

Nothing within these Terms & Conditions excludes or restricts liability where doing so would be unlawful.

In particular, nothing excludes liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded.

Fresh Look Design will not normally be responsible for loss resulting directly from incorrect or incomplete artwork, specifications or instructions supplied and approved by the customer.

We are not responsible for damage resulting from incorrect installation, misuse, unsuitable storage, poor maintenance or failure to follow reasonable instructions.

Customers requiring goods for a specific event or fixed deadline should inform us before ordering.

Unless expressly agreed in writing, estimated delivery dates should not be treated as guaranteed event deadlines.

For business customers only, and to the extent permitted by law, Fresh Look Design will not be liable for indirect or consequential loss, loss of profit, revenue, business, opportunity, anticipated savings or goodwill.

For business customers only, and where lawful and reasonable, our aggregate liability arising from an individual order will not exceed the amount paid or payable for the goods or services giving rise to the claim.

18. Events Outside Our Reasonable Control

Fresh Look Design will not be responsible for delays or failure caused by circumstances outside our reasonable control, subject to applicable law.

Examples include:

  • severe weather;
  • fire or flood;
  • unexpected machinery failure;
  • power or communication failures;
  • supplier problems;
  • material shortages;
  • courier or transport disruption;
  • industrial action;
  • government restrictions; and
  • other unforeseen circumstances outside our reasonable control.

We will take reasonable steps to minimise disruption and resume production or delivery as soon as reasonably practicable.

19. Website & Product Availability

Fresh Look Design takes reasonable care to ensure that information displayed on our website is accurate.

However, occasional pricing, description, specification or availability errors may occur.

Product photographs and mock-ups are illustrative and may not exactly represent the final colour, texture or physical appearance.

Product availability may depend on external suppliers.

Where a product becomes unavailable before production, we may offer:

  • a suitable alternative;
  • a revised timescale; or
  • cancellation of the affected product with an appropriate refund.

We will not make a material substitution without appropriate customer agreement.

20. Privacy & Personal Data

Fresh Look Design may process customer information where reasonably necessary to:

  • provide quotations;
  • process orders;
  • communicate with customers;
  • prepare artwork;
  • manufacture products;
  • arrange delivery;
  • process payments; and
  • provide customer support.

Relevant information may be shared with trusted printing partners, garment suppliers, payment providers and couriers where necessary to fulfil an order.

Personal data will be handled in accordance with applicable UK data protection requirements and our Privacy Policy.

21. Business Customers & Consumers

Fresh Look Design supplies products and services to both businesses and consumers.

A consumer is an individual purchasing wholly or mainly outside their trade, business, craft or profession.

A business customer purchases wholly or mainly for purposes relating to their trade, business, craft or profession.

Nothing within these Terms & Conditions removes statutory consumer rights that cannot legally be excluded.

Personalised products may be excluded from standard change-of-mind cancellation rights where the applicable legal requirements are met.

This does not remove consumer rights where products are faulty or otherwise not in conformity with the contract.

Anyone placing an order on behalf of a company or organisation confirms that they have appropriate authority to do so.

22. Order Acceptance

Submitting an order constitutes an offer to purchase the relevant products or services subject to these Terms & Conditions.

An automated website order confirmation or payment acknowledgement does not necessarily mean that an order has entered production.

Orders may remain subject to:

  • successful payment;
  • artwork approval;
  • technical feasibility;
  • product and material availability; and
  • other reasonable production checks.

Fresh Look Design may decline an order before production where there is a reasonable reason to do so, including product unavailability, technical impossibility, an obvious pricing error, payment failure or potentially unlawful content.

Where we cannot accept an order after payment has been received, the affected payment will be refunded unless another solution is agreed.

23. WhatsApp, Email & Customer Approval

Fresh Look Design may communicate with customers regarding orders through WhatsApp, email, website forms or another agreed electronic communication method.

Written electronic approval is valid approval for production.

Clear statements such as:

  • “Approved”
  • “Looks good”
  • “Go ahead”
  • “Proceed”
  • “OK to print”
  • “Print it”

or equivalent wording may be treated as authorisation to proceed with production.

Once approval has been received, Fresh Look Design may rely on that approval and submit the order for printing, embroidery or other production.

Simply viewing a message or failing to respond will not normally constitute approval.

Where several artwork versions exist, the most recent version expressly approved by the customer will normally be treated as the authorised production artwork.

24. Production Partners & Suppliers

Fresh Look Design may use specialist trade printers, manufacturers, embroidery providers, garment suppliers and other production partners to fulfil customer orders.

Relevant artwork and specifications may be provided to these partners where reasonably necessary to produce the order.

Products may occasionally be dispatched directly from a production partner.

Orders containing different types of products may also arrive in separate deliveries.

The use of a production partner does not remove Fresh Look Design's responsibilities to the customer where Fresh Look Design has accepted the order.

Governing Law

These Terms & Conditions and contracts with Fresh Look Design are governed by the applicable laws of England and Wales, unless mandatory consumer law provides otherwise.

Nothing in this section removes any mandatory rights available to consumers regarding applicable jurisdiction.

Severability

If any part of these Terms & Conditions is found to be unlawful, invalid or unenforceable, that provision will be modified or removed only to the extent necessary.

The remaining Terms & Conditions will continue to apply.

Changes to These Terms

Fresh Look Design may update these Terms & Conditions from time to time.

The Terms applicable to an order will normally be those in effect at the time the order is placed, together with any specific terms separately agreed for that order.
